About the position

We are looking for a Junior Office Administrative Assistant that can provide the following:

On a daily basis

• Call center (answering calls, taking messages and handling correspondence)
• Acting as a receptionist and/or meeting and greeting clients
• Company info mail account monitoring
• Maintaining diaries and arranging appointments (incl. reminders for those involved, preparation of files for attendees, supplies / treats)
  on a weekly basis
• Filing (protocol, invoices, documents)
• Logging or processing bills or expenses on a monthly basis
• Office supplies management

On demand

• Typing, preparing and collating reports
• Organizing and servicing meetings (producing agendas and taking minutes)
• Implementing new procedures and administrative systems
• Liaising with relevant organizations and clients as per CEO instructions
• Shipments arrangements
• Administrative assistant to Operations Team as per CEO instructions
• On-site conferences staffing (if required)

Who will you be working with:

• CEO (as a Personal Assistant / secretary)

The ideal candidate should have:

• Minimum 2 years of experience in administrative tasks such as: scheduling meetings and keeping minutes, preparing invoices, estimates, presentations, etc.
• Proficiency in MS Office
• Excellent organizational and multitasking abilities
• Excellent command of Greek and English (written and spoken)
• Familiarity with financial and project management principles
• Familiarity with social media for professional use (Facebook, Twitter, LinkedIn)
• Ability to work under pressure

Considered an asset:

• Fluency in a third language (preferably French / German)
• Blind typing system
